Booking and fares

How is the fare calculated?

The reservation engine geocodes the pickup and drop-off addresses, applies the rate for the vehicle class you chose, adds any 407 toll the routing uses and returns a single fixed figure. That figure does not change with traffic, time of day or demand. Hourly services — chauffeur-by-the-hour, stretch limousines, party buses — show an hourly rate and a minimum before you commit.

The fare is fixed for the trip you booked. If you add a stop, change the drop-off to a different city or keep the chauffeur waiting beyond the free period at Pearson, the confirmation email states the rates those changes are billed at, so nothing is a surprise. Gratuity is at your discretion and is not added automatically. A 407 toll is only ever used when it shortens your trip, and it is inside the fare — you will never be asked for cash at the kerb.

Do you charge more at night, on holidays or in bad weather?

No. A Woodbridge-to-Terminal 1 transfer costs the same at 4 a.m. on New Year's Day as at 2 p.m. on a Tuesday. The only things that change the fare are the addresses, the vehicle class and any extras you add. This is the main difference between a fixed-fare chauffeured service and rideshare surge pricing — see the limo vs taxi vs Uber comparison.

How far in advance should I book?

Sedan and SUV transfers can usually be booked a few hours ahead, and same-day bookings are common. Occasion vehicles — stretch limousines and party buses — should be booked weeks ahead for Saturdays between May and October and for prom season in June, because the vehicle is held for the whole day.

What is the cancellation policy?

The exact terms are shown at checkout and repeated in your confirmation. Transfers cancelled with reasonable notice are free; late cancellations and no-shows are billed. Occasion vehicles carry a deposit because the date is held for you. If a flight is cancelled by the airline, tell us and the transfer is moved without charge.

Can I pay on the day?

Yes — online at booking or with the chauffeur by card. Corporate accounts are invoiced monthly. Receipts are emailed automatically after every trip.

Airport transfers

How does flight tracking work?

Enter the flight number at booking. The dispatcher's system follows the airline's live arrival time, so if the aircraft is early, late or diverted the pickup moves with it. You do not need to call. The free waiting period — sixty minutes international, thirty domestic — starts when the aircraft lands, not at the scheduled time.

Where do I meet the chauffeur at Pearson?

Curbside pickup at the terminal's pre-arranged pickup area is included in every fare; the chauffeur texts you the exact door and vehicle once you have cleared customs and collected your bags. If you selected meet-and-greet, the chauffeur is inside the arrivals hall with a name board and walks you to the car. Full detail on the Vaughan airport limo page.

Do you serve Billy Bishop, Hamilton and Buffalo airports?

Yes. Billy Bishop is about 45 minutes from Vaughan, Hamilton about 70, and Buffalo about two hours plus the border. Each has its own route page with the timings that matter.

Vehicles and passengers

How many people and bags fit in each vehicle?

Executive and Premium Sedans: three passengers, two large suitcases and two carry-ons. Luxury SUV: six passengers, five large bags. Executive Sprinter: fourteen passengers with a rear luggage compartment. Stretch Limousine: eight passengers, minimal luggage. Party Bus: 20 to 30 passengers, minimal luggage. Details on the fleet page.

Are child seats available?

Yes — select them at booking (a small per-seat add-on shown by the engine), tell us the child's age and weight, and a forward-facing or booster seat is installed before pickup. Ontario requires the correct seat for children under eight (or under 36 kg / 145 cm) in any vehicle, chauffeured or not.

Can I bring a pet?

Service animals always. Pets in a carrier are welcome in sedans and SUVs if you tell us at booking so the right vehicle is assigned; larger dogs travel in an SUV. Occasion vehicles are not suitable for pets.

Is smoking or alcohol allowed?

Smoking and vaping are not permitted in any vehicle. Alcohol may be consumed by passengers of legal age in stretch limousines and party buses where the partition is closed and the chauffeur has confirmed it at booking; it is not permitted in sedans, SUVs or Sprinters, in line with Ontario law.

Occasions

What does a wedding booking include?

A written timeline agreed with you or your planner, the vehicles you chose (typically a stretch for the couple and Sprinters for the party and guests), a chauffeur in formal dress, decoration as agreed, bottled water and champagne flutes on request, and a chauffeur who knows the Vaughan venues. The wedding page has the full run-through.

Do you do proms and graduations?

Yes — June is the busiest month of the year for stretch limousines and party buses. Bookings are by the hour with a minimum, a parent or guardian confirms the booking for passengers under eighteen, and alcohol is not carried on prom bookings. See prom limo Vaughan.

Beyond Vaughan

Do you go outside Ontario?

Ontario and cross-border trips into the United States are done with our own vehicles. Elsewhere in Canada, the US and 59 countries, the booking is fulfilled by a vetted operator from the LimousineWorldwide.Directory network, arranged and paid through the same desk.

Can I book flights and hotels here too?

Yes. The travel desk on every page, powered by BookingWorldwide.net, searches flights, hotels, resorts, activities, packages and rental cars and hands you to the engine to complete the booking. See the travel desk page.

Practical questions

What if I have more luggage than the class allows?

Book the next class up. A sedan takes two large suitcases and two carry-ons in the trunk; a third large bag means an SUV, and a family's worth of March-break luggage plus a stroller means an SUV without question. The chauffeur will not put bags on the rear seat or exceed the vehicle's stated capacity.

Can the chauffeur make more than one pickup?

Yes. Add the extra address in the notes at booking and the fixed fare reflects it. Collecting a colleague in Thornhill on the way from Maple to Pearson is one of the most common notes we see.

Where does the chauffeur pick up at the Vaughan Metropolitan Centre?

At the building's loading or visitor area rather than the Highway 7 kerb — tell us the tower. For the subway station and the Highway 407 terminal, the chauffeur meets you at the passenger pickup lane and texts the vehicle description.

Do I need to tip?

Gratuity is at your discretion and is never added without your say-so. Corporate accounts usually set a fixed policy so travellers never handle it.

I left something in the car.

Reply to your confirmation email; the dispatcher checks the vehicle and arranges return, usually on the chauffeur's next trip to your area.

Can I get a receipt or a monthly statement?

Receipts are emailed automatically after each trip. Corporate accounts receive a monthly invoice with one line per trip and cost-centre codes.

What documents do I need for a cross-border trip to Buffalo?

A valid passport or NEXUS card for every passenger, and — for children travelling without both parents — a consent letter. The chauffeur carries the vehicle's documents. See the Buffalo Airport route.

Can I book a car as a gift?

Yes. Book in your name, enter the passenger's name and mobile in the notes, and the chauffeur's arrival texts go to them while the confirmation and receipt come to you.

Do you pick up at Canada's Wonderland and Vaughan Mills?

Yes, at the designated pickup areas — the Wonderland guide and the Vaughan Mills guide show where, and warn about the fireworks-night and Boxing Day traffic.

What happens in a snowstorm?

Departure pickups are moved earlier the evening before when the forecast is bad, and you are told. Chauffeurs use the 427 for Pearson because it is ploughed first. Flight tracking moves arrivals automatically. Occasion vehicles run unless roads are closed.

Airport questions, continued

What if my flight is cancelled or rebooked?

Tell us, and the transfer moves to the new flight without charge. For a cancellation with no rebooking, the transfer is cancelled without charge. The flight number in the booking is what the tracker follows, so update it if the airline changes it.

Can the chauffeur help with luggage inside the terminal?

With curbside pickup, the chauffeur loads at the vehicle. With meet-and-greet, the chauffeur meets you at the arrivals exit and handles the bags from there to the car. For a departure, the chauffeur unloads at the departures door; the Toronto Pearson porters and trolleys take over inside.

Do you serve Pearson's cargo and private-aviation areas?

Yes — the FBOs on the airport's north and west sides for private flights, coordinated with the crew's ETA rather than a published schedule. Ask through the contact page with the operator's name.

Booking for others and groups

Can I book for a group arriving on different flights?

Yes. Each arrival is booked against its own flight with its own free waiting period; the vehicles can be sedans for each or a Sprinter that waits for the last flight. A wedding or a delegation with a dozen arrivals over three days is planned through the contact page.

Can I book a car for my parents visiting from abroad?

Yes — put their names and mobile in the notes, select meet-and-greet so the chauffeur is inside the arrivals hall with a name board, and tell us their language if the chauffeur should expect no English. The confirmation and receipt come to you.

Vaughan-specific questions

Which Vaughan community is fastest to Pearson?

Woodbridge — fifteen to twenty minutes via the 427 extension. Kleinburg and the VMC are next at 20–25; Concord and Maple 24–28; Thornhill 30–32. The Pearson route page has the table.

Do you go to the banquet halls on Jane Street and Highway 27?

Every weekend. The banquet halls guide lists them with the driveway rules for a stretch, a Sprinter and a party bus.

Can you pick up from the Highway 407 bus terminal or the VMC subway?

Yes — at each station's passenger pickup area, against the train or bus time. The VMC and Highway 407 terminal guide shows where.

Do you serve Richmond Hill, Markham, King City and Bolton?

Yes, from the Vaughan base at the same fixed-fare terms; see the service area.

Corporate and invoicing

How does a corporate account differ from booking on the public engine?

Fixed fares for your most-used routes, monthly invoicing by cost centre, booker logins for assistants, traveller profiles, duty-of-care documentation and an after-hours dispatcher who knows the account — with no fee and no minimum. The corporate page has the detail.

Can I get an insurance certificate for procurement?

Yes — commercial livery insurance and licensing documentation are provided at account set-up and on request.

One more, about this page

Why is the FAQ so long?

Because the questions come from real bookings, and a chauffeured service that answers them once, plainly, saves a phone call at 5 a.m. If your question is not here, the contact page reaches a person, and if the answer is useful it will be added. The Toronto Pearson site remains the authority on the airport itself; this page is the authority on how we get you there.

FAQ

FAQ: questions answered

Do you offer a discount for round trips?

Each leg is priced by the engine from its addresses; there is no separate round-trip rate, but booking both legs together guarantees the return vehicle on peak days and puts both on one confirmation.

Can I book by phone?

There is no phone line published at the moment; the online engine confirms instantly and email is answered around the clock. A dedicated line will be added when it is assigned.
